Operations Project Specialist (Part-time)

Your Tasks

Coordinate and structure ongoing projects to ensure seamless execution,
Communicate effectively with internal teams,
Orchestrate, facilitate and keep meetings on course to make the appropriate use of everyone’s time,
Support project planning, timelines, and resource allocation,
Identify bottlenecks and proactively suggest solutions,
Ensure that all deliverables meet quality standards and deadlines,
Prepare agendas, briefing documents, and materials for meetings; document action items and follow up with teams,
Serve as a communication link between the CEO and internal teams, ensuring smooth information flow,
Track project timelines, flagging any delays or challenges to the CEO,
Prepare reports, presentations, and executive summaries for leadership meetings and operational reviews.

Your qualifications

Hard skills
- At least 2 years of experience in project coordination, account management, internal operations manager or similar roles
-Fluency in English(C1),
- German- Highly desirable
- Area of experience: IT, Digital Marketing, Fintech,
- Proven track record in a fast-paced and dynamic environment,
- Agile methodology is no stranger to you,
- Hands-on experience with managing cross-functional teams,
- Knowledge of the DACH region is beneficial.

- Excellent communication and interpersonal skills to enable seamless reporting,
- Demonstrated project management skills such as planning, execution, controlling, monitoring and closure,
- Ability to multitask and keep track of multiple workstreams,
- A structured yet flexible mindset to adapt to changing priorities,

- Strong analytical and conceptual skills to understand complex information,
- Organizational and time management skills to handle the tasks effectively,
- Risk management skills to identify, assess and mitigate potential project risks.
